Actor Prep Privacy

Actor Prep is provided by Nextabula LLC. Contact james@nextabula.com for privacy questions, access requests or deletion requests.

Scripts, reference material and recordings

Imported scripts and reference material are stored in the app on your device. Initial script parsing runs on your device. Deleting a script from Actor Prep doesn’t delete the original file elsewhere on your device or copies in backups you control.

There are two kinds of audio in Actor Prep: your own voice during rehearsal, and generated scene-partner audio that reads other characters’ dialogue. Actor Prep does not upload your microphone audio or rehearsal recordings to Nextabula, studios, or AI services. Rehearsal speech recognition runs on your device. Optional recordings of your own rehearsal takes are stored locally.

Generated scene-partner audio is also saved on your device. Premium scene-partner audio is generated online from dialogue text, as described below. Device backups may include local content, including your rehearsal takes and generated scene-partner audio; copies you export or back up are under your control.

Online features and service providers

When you request premium scene-partner speech, selected dialogue text and voice settings are sent through Actor Prep's service to ElevenLabs to generate the scene partner’s audio. This does not send your own voice or rehearsal recordings. Our ElevenLabs account has model-improvement sharing turned off. This setting does not guarantee zero retention: ElevenLabs may retain the supplied dialogue text and generated scene-partner audio under its policies. Research questions can send your question, conversation history and selected source excerpts and titles, including script dialogue, through our service to Google Gemini. Google may retain questions, supplied context and responses under its policies. Online Help sends your question and app context to help answer questions about using Actor Prep.

Local Script Check corrections run on your device. If cloud-assisted script reading is available, it requires permission before sending your PDF and description through our service to OpenAI. World Search, if available, sends your question, conversation history and selected source excerpts and titles through our service to OpenAI for online search. We request that the response not be stored for later retrieval; OpenAI may still retain service data under its policies. Opening an external source link contacts that website.

Google Cloud and Firebase support authentication, app integrity, service records, crash/error diagnostics and notifications. OpenAI can process support reports and diagnostic information to help analyze problems. Authorized support staff can review reports and related records. When preparing a fix, an approved engineering workflow can use GitHub and coding tools to process derived engineering information; the workflow does not send the raw support diagnostic bundle as its engineering payload.

Purchases, access and usage

Apple handles App Store payments. Actor Prep does not receive your payment-card details or Apple password. Our service uses authentication identifiers, app/device verification, purchase identifiers, balances and usage records to deliver allowances, recover balances, handle refunds, prevent duplicate credits and protect the service from abuse. Actor Prep does not require a separate password or recovery PIN.

Replaying generated scene-partner audio already saved on your device uses no additional credits and does not create a new online replay event. If an earlier version left playback records awaiting settlement, the app may finish sending those records when you are online. Other online features and diagnostics are separate from replay.

Purchase and balance records are separate from the content saved on your device. Clearing local content does not erase those records. Account deletion follows the separate confirmation described below. Contact us about access requests, purchase delivery or refund activity.

Support and diagnostics

Problem-report analysis sends your note and app/device diagnostics before the report is submitted as a support conversation. Diagnostics can include app and operating-system versions, device model, permissions, recent errors, significant app events, timings and audio-route information. Support diagnostics do not include audio, rehearsal recordings or listening transcripts. Reports do not automatically attach screenshots or scripts. Text you enter can itself contain personal information, so include only what is needed to explain the problem.

Submitted reports, replies, diagnoses and related records are kept by Support. Crash and error diagnostics, including voice-search filters and search events, can also be sent to Firebase Crashlytics. Support notifications use Firebase and Apple's notification service; enabling notifications depends on your device permission. Notification previews announce support activity without including your report or script text.

Support retention and deletion

Our support policy deletes raw attached diagnostics 90 days after the ticket is created. An active case may receive one recorded extension of up to 90 days, with a reason, responsible administrator and review date. This does not extend all support records indefinitely.

For resolved or closed cases, conversations and resolution records are deleted 24 months after resolution or the last message from you or Support, whichever is later. Reopened cases remain active until resolved again. Associated audit/security records are retained for 24 months after resolution or closure. Deleting raw diagnostics does not by itself delete the conversation or its derived diagnosis.

You can delete attached diagnostics from the support conversation or request deletion of the conversation and associated personal information. After we fulfill a conversation-deletion request, a minimal record of the request and its fulfillment is retained for 24 months. De-identified aggregate support metrics, if retained, are reviewed annually and removed when no longer necessary or demonstrably non-identifying.

These periods apply to our support records, not all purchase records, service-provider logs or backups. Clearing local app content or deleting a support conversation does not itself delete those separate records.

Account deletion and Apple billing

In the public app, open Settings > Privacy & Data > Delete Account and Associated Data. Opening the screen does not request deletion. The screen shows availability, your unused purchased-credit balance, processing information and retained-record information. Automatic account deletion is available in the public app after you confirm the request.

Deleting the account permanently forfeits all unused purchased credits shown before confirmation. These credits cannot be restored to a new account. Deleting the account does not cancel Apple billing or request a refund. Cancel Membership with Apple opens Apple's subscription settings. Cancellation keeps the account and verified paid access until its paid-through date; it never schedules account deletion. You may wait until that date or request account deletion immediately without cancelling or waiting. Ongoing Apple subscription rights remain separate from forfeited credit packs and can be verified with Apple.

Deletion starts only after you use the separate confirmation. Online access pauses while cleanup is pending. Cleanup starts after confirmation and can remain pending while existing work settles or a failed step retries. Completion is shown only after the service verifies its controlled account-data cleanup and removal of the anonymous Firebase identity. Use the saved request receipt to check progress; opening the confirmation dialog or choosing Cancel does not submit a new deletion request. Controlled support content covered by account deletion is removed through this flow rather than kept for the ordinary support-retention period.

After server completion, the app clears associated productions, saved scene-partner audio, rehearsal takes, favorite voices and pending support reports from that device. If clearing cannot finish, Finish clearing this device lets you retry. Original imported files, existing backups and content on other devices are not erased by that device's cleanup. The app creates a new anonymous online identity only if you deliberately choose to use online features again.

Records remaining after account deletion

Minimal purchase evidence is kept separately from the operational credit wallet: transaction and original-purchase references, product, purchase environment, purchase and verification/signing dates, quantity, purchase type and refund/revocation status. This evidence does not contain the deleted account identifier, its credit balance, scripts or support content. Separate purchase-verification safeguards may retain pseudonymous purchase references, credit-forfeiture cutoffs, hashes of prior purchase-binding tokens, subscription verification versions and consumption already counted for the relevant paid period. These safeguards prevent old credit packs or duplicate subscription allowances from returning; they are not a restored account or credit balance.

Nextabula product operations reviews retained purchase evidence and replay safeguards for continuing necessity. Purchase evidence follows the applicable record-specific accounting and contract rules, using actual business-event dates. Missing dates are logged for records review and do not keep your account open. Replay safeguards are limited to preventing duplicate credits and outdated subscription access; paid-period consumption applies only through the verified paid-through date. These controls do not retain your deleted account, balance, scripts or support content.

A completion receipt remains available for 30 days from completion; opening or acknowledging it does not restart that period. A minimal hashed account-security marker and associated cleanup fence become eligible for removal after 24 hours from completion, after cleanup verifies that related controlled records are absent. These markers prevent older credentials or unfinished work from recreating account data; they do not retain script or support content.

The 24-hour horizon above applies only to account-deletion security markers and fences, not to all operational or audit logs. Copies already sent to service providers follow the applicable processor retention and deletion processes described above. Account-completion status does not certify that previously sent provider copies have been erased. Contact james@nextabula.com about access or deletion requests concerning those copies. Apple billing and refund requests remain with Apple.

Your choices and requests

You can use local rehearsal features without generating premium voices, remove scripts and references in the app, and manage saved scene-partner audio in Settings. Privacy & Data explains the scope of each deletion action. Clear Local Content removes productions, their scripts and references, favorite voices and saved scene-partner audio. Separate rehearsal takes, sign-in data, some preferences and service records are not covered by that action. Use the recording delete control in rehearsal to remove the current recording of your own rehearsal take.

Use an in-app support request or email james@nextabula.com to ask for access to or deletion of service data. For an email request, we may ask you to confirm control of the relevant in-app ticket or account before releasing or deleting records. We do not ask for identity documents for this process.

For access and deletion requests made through Support or email, we aim to acknowledge the request within seven days and complete it within 30 days, unless a shorter period applies or a documented exception requires more time. If an exception applies, we explain it rather than treating the request as completed. These response targets are separate from the in-app automatic account-deletion flow described above.
